Hours: 8.30am-4.00 pm (Monday-Friday) 35 Hours/Week Term-Time Only

We are looking for an enthusiastic, proactive and well organised individual to join our busy but caring admin team.  The successful applicant will have outstanding communication skills, including good spoken English; as the first point of contact they will create a friendly and professional impression for the school.  They will be flexible, capable of using their own initiative and able to work as part of our friendly and supportive admin team.  This is a temporary contract to support the school while a member of the admin team is on long term sickness absence.

Core purpose

Under the direction of the Headteacher, and the HR/Data/Health & Safety Co-ordinator, support the smooth running of the school office through the provision of efficient clerical, reception and administrative procedures. To provide a quality service that supports the activities of the school.

Main Duties and Responsibilities

Telephone/ Reception

  • To receive and welcome callers e.g. Children, parents, visitors and telephone enquiries. To deal with enquiries and take appropriate action on own initiative where possible.
  • To ensure the school’s security procedures are adhered to and that all visitors are signed in and out.
  • To initially handle complaints, ensuring that complaints are dealt with tactfully, attempting to resolve minor matters and ensuring that more serious matters are referred to the appropriate member of staff.
  • To take and relay internal and external staff messages and matters relating to pupils.
  • To receive deliveries of goods.
  • To contact parent and relevant authorities in emergency situations.


  • To issue receipts to parents in relation to payment for the sports clubs if required.
  • To assist parents with payments on ParentPay.
  • To ensure sufficient copies of letters and forms are available from the reception area.


  • To deal with incoming and outgoing mail.
  • To use the photocopier to prepare and duplicate letters, documents and test papers.

Work Relationships:


  • To respond to the needs of teaching staff, support staff and pupil as required within the above duties.


  • To receive callers and telephone enquiries e.g. Governors, parents, academic staff from other schools, health care professionals and deal with them in a helpful manner and take appropriate action.
  • To ensure that the school’s security procedures are adhered to by all visitors to the school.
  • To be willing to go on courses.


  • To be aware of and comply with policies and procedure relating to child protection, health, safety and security, confidentiality and date protection, reporting all concerns to an appropriate person.
  • The post holder will be expected to cover for and support existing administration staff in order to manage the varying demands and deadlines within the school office.
  • To carry out any other duties commensurate with the grade and nature of the post.

Personal attributes

1)  Educational Achievements, Qualifications and Training


  • NVQ Level 3 or able to demonstrate an equivalent level of attainment through qualification or experience in a relevant discipline
  • GCSE A-C Grades (or equivalent) in Maths and English


  • Successful completion of a course of study in relation to word-processing, using Sims or other office related skills
  • Customer service experience

2) Job Related Knowledge/Aptitude /Skills


  • Be able to priorities and manage a diverse workload and interpretations during the day
  • Prepared to work as part of a team, understanding everyone’s roles and responsibilities within the school
  • Contribute to and support the overall ethos/work/aims/policies of the school
  • Be able to communicate clearly (orally and written), to a variety of audiences
  • An ability to deal with a range of complex issues including analysing and evaluating needs and making decisions
  • An ability to show initiative in a range of situations
  • An ability to interact positively with pupils, parents, colleagues and visitors to the school
  • High information technology knowledge
  • Health and safety knowledge
  • A respect for the need for confidentiality


  • Knowledge of educational issues

3) Experience


  • A minimum of two years office admin experience.
  • Confident and accurate use of Microsoft packages particularly Word and Excel
  • Experience of working with computerised database systems and analysing and reporting information.


  • Experience of working in an educational setting

  • Confidence, warmth, sensitivity, reliability, and enthusiasm
  • Good interpersonal skills
  • A commitment to parental, community and Governing Body partnership
